Start with the locations and the moment
Tell us where the message needs to be seen and when it matters. An event brief may focus on arrival periods and approach roads. A local launch may need several neighbourhoods covered in sequence. A tour needs enough time for travel as well as the advertising activity in each city.
Include exact addresses or postcodes and distinguish essential locations from preferences. We can then assess the route and discuss suitable alternatives. A van cannot be assumed to enter pedestrian areas, private forecourts or venue grounds; access and stopping arrangements form part of the planning.

Prepare creative for the booked screen
Digital displays may support still artwork, animation or video. Ask for the specification for the exact vehicle: aspect ratio, resolution, file type, duration and safe area. A social-media video may need adapting for a roadside or moving display.
Make the brand and main message legible at a glance. If there are several versions, supply a schedule showing which should run at each location or time. Motion, audio and changes during operation need to be checked against the equipment and location requirements; do not assume every feature is available on every campaign.
Costs and inclusions
The quote depends on the vehicle and screen, number of days, operating hours, locations, creative requirements and logistics. Ask for a total that identifies driver time, travel, production and reporting, plus VAT and any extras. A multi-city campaign should state how transfers and overnight arrangements affect the schedule.
Ad bike package prices do not apply to ad vans. Send the van brief for its own proposal and confirmed availability.
Reporting the campaign
Agree the records you need before booking. These may include photographs, operating times, locations and route information where tracking is available. If an audience estimate is supplied, ask for its method and assumptions. Keep delivery evidence separate from enquiries or sales recorded by the advertiser.
Common questions
Can the van stay outside our event?
Suggest the position and time in your brief. Suitability depends on access, stopping arrangements, the vehicle and the event’s requirements. A booking for nearby road activity does not automatically include space inside the venue.
Can we change the creative during a campaign?
Discuss the versions, timing and approval process in advance. Remote updates depend on the display system and the operating arrangement. The quote should state which changes are included and how urgent requests are handled.
Can we book several cities?
Yes. Provide the city sequence and fixed dates. A workable proposal accounts for transfer time, operating hours and local arrangements instead of treating travel days as identical campaign days.
Can an ad van work alongside bikes or staff?
Yes. Give each format a defined task: the van’s route, the bikes’ street-level activity and any staff interaction or distribution. We can discuss a coordinated scope with separate responsibilities and reporting.
